POSITION SUMMARY:

You will have the opportunity to work directly with C-level executives and be responsible for performing a number of administrative duties including managing calendars, organizing meetings, welcoming visitors and managing the travel arrangements for senior-level executives. You'll serve as a link between the executive and Lyellites to help them be more effective in their role.

KEY ROLE AND RESPONSIBILITIES:

  • Prepare internal and external corporate documents for team members and industry partners.
  • Uphold a strict level of confidentiality.
  • Work collaboratively with existing Administrative team.
  • Manage complex calendars, meeting arrangements.
  • Manage Travel coordination and Expense Reimbursement.
  • Arrange and manage internal and external events.
  • Be the point of contact between the executives and company employees/clients and manage information flow.
  • May oversee the performance of other clerical and administrative staff.
  • Screen and direct phone calls and distribute correspondence.
  • Create or enhance processes for the team and broader organization.

 PREFERRED EDUCATION:

  • BA preferred or equivalent of education.

 PREFERRED EXPERIENCE:

  • Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management.
  • Experience managing to a budget and with multiple deadlines required.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
  • Proficiency in collaboration and delegation of duties.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Exceptional interpersonal skills with a professional, friendly demeanor.
  • Highly self-motivated, professional, collaborative, and capable of managing their own workload and prioritizing tasks in a fast-paced start-up environment.
  • Ability to work across teams and with a variety of projects and constituencies.
