Executive Assistant II

The individual in this role will work directly with designated C level executives, Vice Presidents, Senior Vice Presidents and will be responsible for performing a number of administrative duties including managing calendars, organizing meetings, welcoming visitors and managing the travel arrangements for executives. The incumbent serves as a link between the executive and Lyellites to help the executive be more effective in their role. This role supports Board and Committee activities as required.

• Prepare internal and external corporate documents for team members and industry partners
• Uphold a strict level of confidentiality 
• Work collaboratively with existing Administrative team
• Manage complex calendars, meeting arrangements
• Support functional and governance meeting cadence and calendaring
• Manage travel coordination and expense reimbursement as required
• Arrange and manage internal and external events 
• Participate in cross-functional teams as needed
• Be the point of contact between the executives and company employees/clients and manage information flow
• Screen and direct phone calls and distribute correspondence
• Create or enhance processes for the team and broader organization

• BA or equivalent of education 
• Minimum of 10 years of experience as an Executive Assistant reporting directly to senior management
• Experience managing to a budget and with multiple deadlines required
• Experience in handling Board and Committee materials 

• Technical knowledge in area of support (Medical, Biotech, Legal terminology and procedures)
• Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
• Proficiency in collaboration and delegation of duties
• Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
• Exceptional interpersonal skills with a professional, friendly demeanor
• Highly self-motivated, professional, collaborative, and capable of managing their own workload and prioritizing tasks in a fast-paced start-up environment.
• Ability to work across teams and with a variety of projects and constituencies

The salary range for this position is $125,000 and $140,000, annually, with the opportunity to earn an annual bonus. The salary range is an estimate, and the actual salary may vary based on Lyell’s compensation practices and an applicant’s qualifications and experience. Employees are also eligible to participate in Lyell’s Equity Incentive Plan.
